Cancellations, Refunds, Credit Policy

Airtrivo, LLC (“Airtrivo,” “we,” “our,” or “us”) is committed to providing low cost shuttle services and safe airport transfers. Our refund policy helps us maintain these high value customer-friendly rates.
Overview
Airtrivo reserves the right to offer no refunds. Airtrivo reserves the right to provide passengers with options for handling refunds including the use of a third party and third party policy to provide 100% refunds and refund management for participating and qualifying passengers. Airtrivo reserves the right to offer shuttle credit toward future Airtrivo service valid for a 365 day period from the initial booking date. When granted, Refunds may be subject to service fees up to $25. All bookings must be paid in full prior to departure. No refunds or credits for any reason will be made within 24 hours of trip departure. Eligible and approved refunds may require up to 10 business days. No shows or missed shuttles are ineligible for credit or refund.
Technical
All bookings with Airtrivo must comply with Airtrivo’s contract of carriage, and with all applicable fare rules. Airtrivo’s ground transport Booking Policy guidelines are designed to set clear expectations for subscribers concerning the use of a ground transport for reserving, booking, and ticketing Airtrivo ground transportation. Emphasis has been placed on the importance of adherence to tariff rules as they are designed to allow pricing and travel flexibility for all customers. Enforcing these rules benefits customers as this allows us to offer passengers a greater number of discounts while reserving last seat availability for designated customers through date, time, or other relative pricing structures.
We will continue to provide information to applicable partners to ensure that all of our ground transport users take a consistent approach when using ground transport services to reserve space and issue tickets for Airtrivo customers. Ground transport practices that are considered a violation of Airtrivo’s policies will be addressed appropriately.
To prevent such violations, please review any links below that encompasses booking rules and abusive type ticketing practices. Under no circumstances should Airtrivo personnel or Airtrivo-appointed shuttle drivers suggest or solicit any type of abusive ticketing practice that would violate Airtrivo’s tariff rules.
Canceling reservations
Shuttle trips must be canceled and inventory released immediately when a ticket has not been purchased in accordance with applicable rules, or when notified by a customer that travel is no longer needed, whichever comes first. Canceled space for one passenger shall not be used for another customer even if that customer desires an identical itinerary.
Secure Passenger representation and data are requested for each passenger and segment. Passengers booking without proper and accurate identifying information including name, phone number, email, or other data may be subject to cancellation.
Back-to-Back ticketing
Airtrivo’s policy as stated in tariff rule in appendix C specifically prohibits the practice of back-to-back ticketing, which is defined as follows: The issuance or use of coupons from two or more tickets issued at round-trip fares or the combination of two or more round-trip fares end to end on the same ticket, for the purpose of circumventing applicable tariff rules such as advance purchase and minimum stay requirements.
Agents engaging in this practice are held accountable for these violations and appropriate action is taken, including issuing debit memos, and where appropriate, terminating their Airtrivo appointment.
Churning refers to any repeated booking or canceling of the same itinerary in the same class or different classes of service across one or more passenger name records or ground transport including, without limitation, to circumvent or extend ticketing time limits, to hold inventory or to meet ground transport productivity requirements. Airtrivo excludes from churning calculations all activity generated the same date the initial booking for a segment was created.
Dual automation
A ground transportation passenger that uses more than one ground transportation in its business must book and ticket a specific passenger itinerary within the same ground transportation.
Fraudulent/Fictitious bookings
Fraudulent, fictitious, or speculative bookings are forbidden. These are defined as reservations where a booking is entered into a ground transportation arrangement regardless of input codes, using fictional or fabricated names, with no intent for travel and is not directly related to a request from a passenger to purchase a ticket.
Examples of such bookings include reservations that list the following in the reservation or booking:

Group Ticketing
Creating such a class of reservations to hold or block reservations due to expected demand, customer indecision, or for any reason including, without limitation, to circumvent any of Airtrivo’s fare rules or policies is not permitted.
An acceptable group bookings may include segments entered passively into ground transportation arrangements. These passive segments must match segments already existing in Airtrivo’s utilized booking or reservation platform whether on-line, in-person, or via phone. Passive segments may only be entered at the time, and for the purpose, of ticket issuance.
Group bookings entered into a ground transportation arrangement that are not directly related to a customer request and are subsequently canceled prior to ticketing are considered speculative. Groups booked in a manner designed to circumvent these procedures are subject to penalties and/or cancellation by Airtrivo. This includes, without limitation, creating hidden groups by making multiple, small bookings which are intended as a group. Airtrivo prohibits creating speculative and hidden group bookings.
Inactive routes
Every attempt should be made to remove inactive routes at least 24 hours before departure. Inactive segments that are not cancelled 24 hours prior to departure are subject to Cost Recovery Fee charges from Airtrivo.
Airtrivo utilizes 3rd party mechanisms to manage routes on an origin and destination basis. Inventory that is available on a particular segment for one route may not be available for other routes including the same segment. Airtrivo’s booking policy prohibits the creation of reservations with the intent to circumvent inventory management controls (e.g., connected route logic or trip controls) and/or to obtain inventory for ticket sales which Airtrivo does not intend to offer for the passenger’s actual route itinerary. Agents engaging in circumvention of Airtrivo controls will be held accountable for these violations.
Premium group process
For all U.S. point-of-sale locations (domestic), when booking a premium group, follow the ticketing rules below:
Group minimum – 3 or more passengers
No discounts
Tour Conductors can be negotiated – Valid for agencies only
Customer contact – official agency only
Booking inventory for Airtrivo: Airtrivo class or above using published fares only
The agency will establish one Equity Account to be used for all Premium Groups. The agency will be responsible for maintaining the rolling balance.
Full payment will include taxes and surcharges applicable at the time of the fare quote and is non-refundable
Equity cannot be used for future travel
Feeder space is not currently available
One free name change is permitted per ticket, prior to departure. Agency must reissue the ticket.
Payment Option
Electronic Payment Option (Preferred Method) – accounts will wire payment directly to the Airtrivo, Inc. account with Coastal Community Bank. Specific instructions will be provided via e-mail from customer service. Non-U.S. agency/customer accounts are currently accepted.
Special service request
When changing itineraries or requests for modifying routes, it is necessary to re-request any special service requests from the original booking and make appropriate updates.
Booking/Reservation Identification
All Airtrivo reservations require a valid first, middle, and last name as provided by the passenger. Initials, in lieu of a first, middle, or last name, are not permitted.8. Contact Us
